How the calculation works
- Current annual cost = learners × sessions × current cost per learner-session.
- Recurring VR cost = learners × sessions × VR cost per learner-session + annual fixed costs.
- Annual recurring saving = current annual cost − recurring VR cost.
- First-year VR cost = recurring VR cost + one-time setup.
- First-year saving = current annual cost − first-year VR cost.
- First-year cost ROI = first-year saving ÷ first-year VR cost × 100.
- Simple payback = one-time setup ÷ annual recurring saving, when savings are positive.
This model assumes the same learner volume and constant annual costs. It excludes financing, tax, discounting, inflation and unverified benefits such as fewer incidents. It does not establish learning effectiveness. If training capacity differs between scenarios, adjust the assumptions before comparing them.
Test the assumptions before approving a rollout.
Try a lower learner volume, higher maintenance cost and a slower rollout. Keep a record of what each input includes. A pilot should test both the delivery cost and the learning objective; savings alone do not make a training programme effective.
Why is the first-year result negative?
Setup costs can exceed the first year’s recurring savings. Review the assumptions and the intended useful life rather than treating a negative first year as an automatic rejection.
What if there is no positive annual saving?
The calculator shows no simple payback. Other benefits would need separate evidence and should not be invented to make the result positive.
Is this a price estimate?
No. Production scope, assets, scenarios, integrations and testing determine the project estimate. Use your own validated costs.
